Monthly Bookkeeping Checklist for US Small Businesses

Most small business owners only think about their books when tax season arrives or when a lender asks for financial statements. By then, months of uncategorized transactions, missing receipts and unreconciled accounts have piled up, and cleaning them up costs far more time than keeping them current would have.

A short, repeatable month-end routine prevents that. This monthly bookkeeping checklist is written for US small businesses using software such as QuickBooks Online or Xero. It covers what to do each month, what to review each quarter, and the records the IRS expects you to keep.

What Should a Monthly Bookkeeping Checklist Include?

Each month, record and categorize all transactions, reconcile every bank and credit card account to its statement, review accounts receivable and payable, reconcile payroll and sales tax liabilities, attach receipts, record recurring adjusting entries such as depreciation, and review the profit and loss statement, balance sheet and cash flow. Close the period in your software once everything is reconciled.

Why Monthly Bookkeeping Matters

  • Accurate tax filings: clean books make returns faster and reduce the risk of errors.
  • Cash visibility: you see what you actually have, owe and are owed.
  • Earlier detection of errors, duplicate payments, unauthorised charges and fraud.
  • Better decisions on pricing, hiring and spending, based on current numbers.
  • Lender and investor readiness: up-to-date statements are often the first thing they ask for.

The Monthly Bookkeeping Checklist

1. Record and Categorize All Transactions

  • Import or sync all bank, credit card and payment processor feeds (Stripe, PayPal, Square and others)
  • Categorize every transaction to the correct account in your chart of accounts
  • Clear the “uncategorized” and “ask my accountant” accounts
  • Split mixed transactions, such as a loan payment with principal and interest
  • Record cash transactions and owner-paid business expenses
  • Separate any personal transactions and record them as owner draws or contributions

2. Reconcile Bank and Credit Card Accounts

  • Reconcile every bank account to the month-end statement balance
  • Reconcile every credit card account to its statement
  • Investigate outstanding items older than a month
  • Reconcile payment processor balances and payouts, including fees and refunds
  • Check that the reconciled balance matches the balance sheet

3. Review Accounts Receivable

  • Confirm all invoices for the month have been issued
  • Apply customer payments to the right invoices
  • Review the aged receivables report and follow up on overdue balances
  • Identify invoices that may not be collected and discuss write-offs with your accountant

4. Review Accounts Payable

  • Enter all vendor bills received
  • Match payments to bills to avoid duplicates
  • Review the aged payables report and plan upcoming payments
  • Confirm you have a Form W-9 on file for each vendor you may need to issue a Form 1099 to

5. Reconcile Payroll

  • Match payroll journal entries to the payroll provider’s reports
  • Confirm federal and state payroll tax deposits were made on schedule
  • Reconcile payroll liability accounts to zero, or to the amounts actually due
  • Record employer benefit contributions and retirement plan deposits

6. Reconcile Sales Tax

  • Reconcile sales tax collected to the sales tax liability account
  • Check marketplace sales, where the marketplace may collect and remit for you
  • File and pay returns due this month in each state where you are registered
  • Watch sales in new states against economic nexus thresholds

7. Attach and Organize Documentation

  • Attach receipts and invoices to transactions in your software
  • Note the business purpose for meals, travel and similar expenses
  • Save statements, contracts and loan documents in a consistent folder structure

8. Record Adjusting Entries

  • Depreciation and amortization, if you record them monthly
  • Prepaid expenses (insurance, software) recognized over the period they cover
  • Accrued expenses for costs incurred but not yet billed, if you use accrual accounting
  • Deferred revenue for payments received before work is delivered
  • Inventory adjustments, if you hold stock
  • Loan principal and interest split

9. Review Financial Statements

  • Profit and loss: compare with last month and the same month last year
  • Balance sheet: check for negative balances or accounts that should be zero
  • Cash flow: understand why cash moved differently from profit
  • Budget versus actual, if you have a budget
  • Investigate any line that looks unusual

10. Close the Month

  • Set a closing date (period lock) in your software to prevent changes to reconciled months
  • Save or share the month’s reports with owners or your accountant
  • Note open issues to resolve next month

Quarterly and Annual Add-Ons

Frequency Task
Quarterly Review estimated tax payments for owners or the business; check payroll returns such as Form 941 were filed; review sales tax filing frequency
Quarterly Deeper review of receivables, payables and inventory; review gross margin by product or service
Year-end Issue Forms 1099-NEC to eligible contractors by January 31; reconcile W-2 data; review fixed assets; prepare year-end adjusting entries
Year-end Provide your tax preparer with financial statements, reconciliations and supporting schedules

Deadlines vary with your entity type, payroll deposit schedule and the states you operate in, so keep a compliance calendar specific to your business.

How Long Should You Keep Records?

According to the IRS, the period depends on the record and the situation:

  • Generally 3 years from the date the return was filed.
  • 6 years if income was underreported by more than 25% of the gross income shown on the return.
  • 7 years for a claim for a loss from worthless securities or a bad debt deduction.
  • At least 4 years for employment tax records after the tax is due or paid, whichever is later.
  • Indefinitely if a return was not filed or a fraudulent return was filed.

Keep property records until the period of limitations expires for the year you dispose of the property. Lenders, insurers and state agencies may require longer retention.

Common Monthly Bookkeeping Mistakes

Mistake Fix
Accepting bank feed categorizations without review Review rules and auto-matches every month
Recording payment processor payouts as revenue Record gross sales, fees and refunds separately
Mixing personal and business spending Use separate accounts and record owner draws
Skipping credit card reconciliations Reconcile cards like bank accounts
Recording loan payments entirely as expense Split principal and interest
Leaving months open Lock reconciled periods
Collecting W-9s only in January Collect a W-9 before the first payment

If your books are already months behind, start with a catch-up project rather than a monthly routine. Our guide on bookkeeping cleanup before tax season explains how.

Frequently Asked Questions

How long does monthly bookkeeping take?

It depends on transaction volume, number of accounts and how current the books are. A business with clean feeds and few accounts can close in a few hours; complex businesses need more time.

What is a month-end close?

The process of recording, reconciling and reviewing all transactions for a month, then locking the period so the numbers can be relied on.

Do I need to reconcile every account every month?

Yes, every bank, credit card, loan and payment processor account should be reconciled to its statement monthly.

Should a small business use cash or accrual accounting?

Many small businesses can use either, subject to IRS rules, but accrual accounting gives a truer picture of performance. Ask your tax professional which method suits you.

Which reports should I review every month?

The profit and loss statement, balance sheet, cash flow statement, aged receivables and aged payables.

How long should I keep business records?

Generally three years after filing, but longer in some cases, such as four years for employment tax records and seven years for bad debt or worthless securities claims.

Can I outsource monthly bookkeeping?

Yes. Many small businesses outsource bookkeeping to an accounting firm that handles categorization, reconciliation and monthly reports.

What should I give my accountant at year-end?

Reconciled financial statements, bank and loan statements, fixed asset records, payroll reports, 1099 vendor details and any notes on unusual transactions.

Make Month-End a Habit

Bookkeeping becomes manageable when it is routine. Work through the same checklist every month, reconcile everything, review the reports and lock the period. Tax season then becomes a review rather than a rescue.
